Forms from documents

Interpreter reads a source document and fills a target form field by field. Use this when you would otherwise re-key data from a PDF, DOCX, or email into a W-4, tax form, intake form, web portal, or internal admin tool.

Why this is painful manually

Re-keying from one document into another is slow and error-prone. Fields get transposed, names get truncated, SSNs get a digit wrong. A single mismatched filing status can mean a corrected return later. Interpreter does the boring transfer step, but only when you spell out the mapping.

Set up the workspace

  • Put the source document and the blank target form in the same workspace folder.
  • Open the target form in its real application (Acrobat, the web portal, the admin tool).
  • Confirm Interpreter has read access to the folder and the target window.

Worked example

I am a payroll admin. Read the offer letter at ~/Desktop/offer-jane.pdf. Open the blank W-4 in ~/Desktop/w4-blank.pdf. Fill in name, address, SSN, filing status, and dependents from the offer letter. Stop before saving so I can review.

Interpreter parses the offer letter, opens the W-4 in your PDF viewer, and types each field in order. It pauses at the save dialog so you can verify every cell before committing.

Spell out the field mapping

Be explicit. Interpreter is at its best when the mapping is named, not inferred.

  • offer letter "Full legal name" → W-4 "Name"
  • offer letter "Home address" → W-4 lines 1b and 1c
  • offer letter "Annual base salary" → W-4 line 4a
  • offer letter "Dependents listed in benefits section" → W-4 step 3

If a field is missing from the source, tell Interpreter to leave it blank and flag it in a note, not guess.

Require approvals at the right points

  • Before signing the form
  • Before clicking Submit on a web portal
  • Before sending the completed form to a downstream recipient
  • Before overwriting an existing filled copy

These pauses are the difference between a useful agent and a costly one. Set them in the instruction, not after the fact.

Scale to a batch

Once one form is right, run the same instruction over a folder of source documents. Interpreter loops the same field mapping across each source, producing one filled form per input. Spot-check the first three before approving the rest.
